If you combine solid administrative experience and attention to detail with strong communication skills, and an outgoing and professional demeanor, the role of Human Resources Coordinator could your ideal opportunity. In this job, you will:
  • Enjoy visibility and the opportunity to make a difference as an HR professional (with the Human Resources Manager's guidance), supporting a client group of 220 working across three shifts. You'll interact with first- and second-shift employees daily and may answer third-shift questions electronically. 2-3 days per week, you will be the only HR resource on site.
  • Gain valuable experience as you support a union lab and skilled workers who use state-of-the-art technology and equipment to deliver a broad array of optical lab services. You'll provide daily support, answer questions, complete administrative duties, manage engagement activities, such as our monthly employee appreciation and other special events, and more.

Reporting to the HR Manager, as Human Resources Coordinator, you will support HR operations, administration and employee engagement within the Lab. You will be responsible for answering questions, handling issues and resolving problems in areas such as benefits, payroll / compensation, and HR policies and procedures. Benefits responsibilities will include open enrollment coordination, new hire enrollment, and benefits questions and changes throughout the year. You will also be responsible for employee engagement activities and events. In the morning you will work with first-shift employees, and when the second shift comes in at 2:00 PM, you will attend the daily meeting and provide any HR updates. Some of your specific duties will include: 
  • Creating a monthly calendar; managing, setting up and updating break room boards monthly; updating the slide show in the main lobby. 
  • Hosting orientation, managing new hire folders, onboarding, and 10-day check-in on new hires.
  • Recognizing team members at 30 days, 90 days, and 1-year milestones.
  • Managing 90-day survey notification and follow up on concerns.
  • Managing worker's compensation - injury reporting, claims processing, and communication with the insurance company.
  • Assisting with updating the sign-on / referral bonuses.
  • Assisting with employee leaves of absence – contact person for individuals going out or on leave, ensuring appropriate communication of FMLA and Disability policies and plans, coordination of leave paperwork and file maintenance, and liaising between the insurance carrier and payroll for disability payments.
  • File maintenance, including all data entry into the HRIS system (e.g, new hires, terminations, status changes, benefit changes, etc.) and maintaining appropriate paperwork for all changes and updates to employee files.
  • Administrative responsibilities such as employment verifications, invoices, HRIS reporting, unemployment claims, PPR/Merit and Succession planning administration and tracking, tuition reimbursement administration, and employee referral bonus administration.
  • Coding and processing all HR invoices for payments.
  • Following safety practices in the lab as required per policy.

To be a good fit for the job of Human Resources Coordinator, you will have:

  • Ability to maintain a high level of confidentiality
  • Demonstrated good judgment and decision-making skills; calm under pressure and a thick skin at times
  • Strong attention to detail and the ability to multi-task and prioritize required
  • Excellent verbal and written communication and interpersonal skills
  • Ability to work with all levels and titles in the organization
  • Excellent customer service skills and ability to effectively interact with people in person, by phone, or by e-mail
  • Flexibility, adaptability with the drive to learn and enhance your skills

Valued but not required:
  • Human resources or accounting experience
  • HRIS experience 
  • Union experience
In general, you will work in the office Monday through Friday. There is some flexibility around start time; it can be between 6:00am - 1:00pm (the HR Manager believes in work-life balance), as long as you work your 8 hours per day, though you must come in by 7:30 on orientation Mondays. Typically, you will be able to leave early on Fridays and could have the opportunity to work from home on occasion, when necessary.
